From Movement Schedule to Confirmed Pickup
Four stages, each with a decision that stays with you, then a route for changes. No payment is taken until you accept a quote.
What to send
For each movement: date, time, passenger count, pickup and drop-off addresses, and luggage. For arrivals, add flight numbers and scheduled landing times; for a cruise call, the ship name and all-aboard time. For departures, give the latest time the group must be at the terminal. Flag any passenger who uses a wheelchair and any guest who should travel separately.
A spreadsheet of legs is ideal. A rough outline works too, but expect questions back before it can be priced.
Pricing the schedule
We place the schedule with a licensed, insured operator holding suitable vehicles on those dates. The operator works out driving time, waiting time between runs, distance, tolls and parking. Where a day would breach the EU limits on driving or rest, the price includes a second driver or a relief vehicle, and the quote says which.
Checking the quote
One quote covers the programme. Read it leg by leg: vehicle class, times, addresses, waiting periods, what is included and the operator's cancellation terms. A missing leg or a wrong time is easier to fix now than on the day.
Acceptance and confirmation
Accept the quote and pay by card through the site. We then confirm in writing, with the meeting point for each pickup, ready to paste into the group's joining instructions.
When the schedule moves
Flights are retimed, headcounts drop, a dinner overruns. Send changes as soon as they are known and we check them with the operator. If a change alters the price, you hear before anything more is charged. Cancellation follows the terms on the quote.
Questions
One coach on a loop, or two minibuses in parallel?
Give the passenger count, the bags and the timings for each leg. The quote names the vehicle or combination that covers the schedule.
What happens if a flight is delayed?
The operator uses the flight number to track the arrival. A long delay eats into the driver's permitted hours, so tell us if the group goes straight on to another commitment.
Do I need final numbers before asking?
No. Give your best estimate and update it. A large swing in numbers can change the vehicle class, so send revisions as registrations settle.
